How to Use QR Codes for Event Tickets & Check-In
A practical guide to using QR codes for event registration, ticketing, and on-site check-in.
How QR Ticketing Works
Each ticket contains a unique QR code — either embedded in a PDF, displayed in a mobile app, or printed on a physical ticket. At the venue, staff scan each QR code with a smartphone or dedicated scanner. The system validates the ticket, marks it as used, and prevents re-entry with the same code.
For small events, you can generate unique QR codes using our bulk generator and manually track check-ins. For large events, integrate with an event management platform like Eventbrite, Luma, or Ticket Tailor.
Setting Up QR Code Check-In
For DIY check-in: generate a unique code per registrant using our bulk QR generator with a CSV of attendee names or IDs. Print or email the codes to attendees. At the event, use any QR scanner app and cross-reference against your attendee list.
For professional events: most ticketing platforms generate QR codes automatically and provide a companion scanning app. The workflow is the same — the platform just handles the code generation and validation for you.
Best Practices for Event QR Codes
Ensure every QR code is unique — duplicate codes allow multiple entries on a single ticket. Print codes large enough to scan quickly (1.5 inches minimum on a badge). Test your scanning workflow before the event with real devices under realistic lighting.
Have a backup plan. If WiFi fails at the venue, some scanning apps work offline. Print a backup attendee list. Technology enhances check-in but should not be a single point of failure.
